for pools and wellness

A pool system that watches both opening and winterizing for you

A pool company has two seasons a year and both are short. Whoever misses an opening in May loses service income that was already theirs.

A custom system for a pool and wellness company starts at €1,400 and the first version is usually ready within a week. It keeps a record card for every pool with its technology and volume, plans seasonal opening and winterizing as recurring dates, tracks service contracts and chemical usage, and invoices straight from the visit.

Where a company like this loses money

You do not know how many pools you look after

You have built dozens, but a list with technology and volume exists nowhere.

The season is planned by phone

In May you call the ones you happen to remember. The rest open the pool themselves and that service is gone.

Chemical dosing is worked out on site

The technician remembers the pool volume or measures it again. On every single visit.

Winterizing is missed

The frost arrives before the list is called through, and damaged equipment then comes back as a complaint against you.

What a system like this includes

A pool card with volume, filtration type, heating, cover and the technology used, including photos from the build. The technician sees what is waiting before the visit and does not have to measure what someone already measured.

Seasonal opening and winterizing dates as recurring duties for the whole list of pools. This is the heart of it: the difference between calling from memory and a plan you can split between people.

Service contracts with the number of visits per season and a view of how many have been used up. This is exactly where companies leak money, because a flat fee is invoiced while more work gets done than agreed.

Dosing and chemical usage derived from the volume on the card, so the technician does not calculate on site and usage can be tracked per pool and overall.

Builds as a separate job type with a budget and stages, because building a pool is construction, not service. The link is that a build automatically creates a card and ongoing service care.

  1. Build A pool card is created with volume, filtration and heating.
  2. Spring opening The date is planned for the whole list, not based on who calls.
  3. Seasonal service Visits by contract, chemistry by the volume on the card.
  4. Winterizing Planned before the frost arrives, and that closes the cycle.
Why pools are a cycle

What stands behind it

I have not built for a pool company yet. The closest is Kotle CRM with an equipment card, recurring dates and invoicing from the visit, which is most of the skeleton. What is different is the double seasonal peak and the tie between a build and the service that follows, and that is the thing we would walk through right at the start.

The closest finished system is a CRM for a company that installs and services boilers. The same logic: equipment on someone else property, seasonal and recurring dates, a technician visit and an invoice that has to go out at once.

The first working version there took 3 hours, because we first broke down how the company works. With pools the seasonality is even sharper, so the plan decides the whole year of income.

Common questions

We built pools we do not service. Is there any point recording them?

There is, and it is usually the first thing that pays for itself. A list of pools without a service contract is the best outreach base a company can have, and it costs nothing.

We also sell chemistry and accessories.

That is stock movement with a document and it can be tied to a service visit. Most companies sell more this way, because the technician knows what the pool needs.

We are a small company with two technicians.

With two people the most valuable part is the seasonal planning, because capacity is hard limited and you need to know how much you can get done.

How much does it cost?

From €1,400, with no per user fee, which with seasonal temporary staff is the main difference against off the shelf programs.

Do you know how many pools are waiting for opening in May?

Tell me how many pools you look after and how you plan the season today. Once it runs, you open one screen in March and see the whole season laid out ahead. The first call is free.
