for car and van rentals
A rental system where every scratch and every fine has a clear owner
A vehicle rental loses money on three things: on the car that sits idle, on damage that cannot be proven, and on the fine that arrives too late.
A custom system for car and van rentals starts at €1,400 and the first version is usually ready within a week. It runs reservations against specific vehicles, keeps a handover and return protocol with photos and odometer readings, calculates rental by duration and mileage, and ties each fine to the renter by date and time.
Where a rental loses money
Damage cannot be proven
Without photos at handover the customer claims the scratch was already there, and most of the time you eat the cost.
The fine lands six months late
Without an exact record of who had the car on that day and hour, you can no longer pass it on.
Reservations sit in a paper calendar
A customer calls to ask whether the van is free for the weekend, and you find out by flipping pages.
You do not know which car pays off
Two cars cost the same, one is rented two hundred days a year and the other fifty.
What a system like this includes
Reservations against specific vehicles with availability in a calendar, so you can answer during the call instead of after checking. With vans, that quick answer is the main reason a customer picks you.
A handover and return protocol with photos outside and inside, odometer and fuel level, signed on a tablet. This is the one thing that holds up in a damage dispute, and it also keeps the customer more careful right at pickup.
Rental priced by duration and by mileage over the limit, plus surcharges for late return and unrefueled fuel, calculated automatically from the protocol.
A record of drivers and rental times, from which a fine goes to the right renter even six months later. Without it the rental pays, which is a serious sum across several cars.
Service and technical deadlines by mileage and date, so an inspection does not pull a car off the road when it should have been rented out.
- Reservation Availability of a specific vehicle, confirmed on the call.
- Handover Photos, odometer, fuel and a signature on the tablet.
- Rental Rental runs by duration and mileage over the limit.
- Return Compared against the protocol, extra charges billed at once, fines assigned later.
What stands behind it
I have not built for vehicle rental yet. The closest is scaffolding rental, where the record of what is out and since when fits, along with the rental calculation for a period. What is missing there is the protocol with vehicle photo documentation and the assignment of fines, and those are the two things that would decide your payback; they need to be done properly.
The closest finished system is the one for scaffolding rental, which tracks what is out, with whom and since when, and where rental is calculated from duration and condition on return.
While building it I first went through the client Excel and found 10 errors that had shaped his quotes for years. With vehicle rental the error tends to sit in what never got written down at handover.
Common questions
We want reservations right on the website.
It can be done, and it is the natural next step. I recommend starting with the internal record, because online booking on top of a paper calendar would only produce conflicts faster.
How does the protocol work when the customer is impatient?
Eight photos around the car and two readings. It takes a minute, and it is the minute that decides a scratch dispute.
We also have long-term rentals for months.
Yes, the rate is a property of the contract, so daily, weekend and monthly rates can be combined, and for a long-term rental the system can issue invoices regularly on its own.
How much does it cost?
From €1,400, with no per-user fee. The first working version is usually ready within a week.
How many scratches did you eat yourself this year?
Tell me how many vehicles you have and how you handle handovers today. A handover with photos takes a minute, and on return nobody argues about what was there before. The first call is free.
