for chimney sweeps
A system for a chimney sweep that calls the customer before they remember on their own
Chimney sweeping has a rare quality: the law says how often an inspection has to happen. Whoever watches those deadlines has work planned years ahead. Whoever does not waits for the phone to ring.
A custom system for a chimney sweep starts at €1,400 and the first version is usually ready within a week. It keeps a register of chimneys and appliances by address, watches the deadlines for inspections and cleaning, flags the date a month ahead, and issues both the report and an invoice with a payment QR code straight from the job.
What keeps a chimney sweep from a full calendar
The customer watches the deadlines
And usually does not. The inspection gets done a year late, or only once the insurer asks for it.
Reports sit on paper in a binder
When a customer asks for a copy two years later, you search by date and not by address.
You do not know what appliance is at that address
Gas, solid fuel or a fireplace all have different deadlines. Without a register you cannot tell them apart.
Winter is packed, summer is empty
Yet most inspections could be done in June too, if only someone decided to schedule them there.
What such a system contains
A register by address and chimney, not by the customer name. The chimney type, connected appliance, fuel and its condition at the last inspection, plus photos. When the property changes owner, the history is not lost.
Deadlines derived from the appliance type and fuel, which the system watches on its own and flags a month ahead. This is the whole heart of it: the difference between waiting for the phone and having a plan for the year.
An inspection report from a template, generated on site and sent to the customer by email, plus an invoice with a payment QR code. Paper stays only where it is genuinely needed.
Jobs split into routes by municipality, so nobody drives back and forth across the district. With ten inspections a day, that is an hour of time nobody pays for.
An overview by municipality and deadline that shows how much work is coming in six months. In chimney sweeping this is the one thing that lets you plan capacity ahead and not take seasonal work at the expense of the steady kind.
- First inspection A chimney record is created with the appliance, fuel and photos.
- Deadline by type The date is calculated from the fuel and appliance, not from the customer memory.
- Alert a month ahead You do the calling. The date can be scheduled outside the winter peak too.
- Report and invoice They go out from the job and the deadline moves on its own.
What stands behind it
I have not yet built directly for a chimney sweeping business. The closest is Kotle CRM, where a reminder for the chimney inspection is even built in already, so most of the logic exists. What differs are the requirements of chimney sweep reports and the deadlines by appliance type, and those I need you to explain to me.
The closest finished system is a CRM for boiler servicing, where a reminder runs for the annual service and for the chimney inspection. So it is exactly the same kind of deadline, just from the other side.
There an invoice with a payment QR code goes out in one click, and the first working version was built in 3 hours, because how the business works was mapped out first.
Frequent questions
Can you put in the report form we use?
The template, yes, with the chimney and appliance details filled in automatically. You stay responsible for the professional content and for whether the form meets the applicable regulations.
We also do municipalities where there are fifty addresses at once.
That is the best case. Addresses can be kept in bulk and their deadlines run in parallel, so a municipality gets planned as one route.
How does it work on a roof or in a cellar with no signal?
The record and the photos can be done offline and are sent later. Without that it would not be usable in the field.
How much does it cost?
From €1,400. Further development from €330 a month with no lock-in, and the code and data are yours.
Are you waiting for the phone, or doing the calling?
Tell me how many addresses you have on record and how you track the deadlines today. The system does the chasing and you only ring the people who need a time agreed. The first call is free.
