A rental system that knows what is out and what condition it went out in

A rental yard has two sources of loss and both are quiet: a machine sitting in the yard when it could be out earning, and a machine that came back damaged with nobody billing for it.

A custom system for a construction equipment rental starts at €1,400 and the first version is usually ready within a week. It runs bookings and machine availability, handover and return by unit with condition photos, calculates rent from the real hire time, and shows how many days a year each machine was actually out.

What a system like this covers

An availability calendar by unit, not by type. When you have three plate compactors, the system knows which one is free on Wednesday, and a booking can be confirmed during the call instead of a promise to ring back.

Handover and return with condition photos and the receiver signing on a tablet. In a dispute over damage that is the only argument that holds, and it also keeps the customer more careful at pickup.

Rent calculated from the real time with your rates, meaning day, weekend, week or month. Transport and servicing are added as separate lines so the customer sees them and does not treat them as hidden.

Utilisation by unit, meaning how many days a year a given machine was out and how many it sat idle. In rentals that is the one number worth using to decide whether to buy more or sell.

Servicing and inspections by engine hours or date, so a machine is not sent to a customer past its due window. On lifts and lifting gear that is not just a business matter but a legal one.

What stands behind it

I have not yet built for a machine rental yard as such, but scaffolding rental is one step away from it: the same handover and return by unit, the same trips and the same pricing per period. What is not there is a booking calendar by specific units, and that would be the largest part of the work.

The closest finished system is the one for scaffolding rental. There too handover and return are tracked by unit, weight, trips and price are calculated, and the gap between what went out and what came back falls out on its own.

While building it I first pulled apart the client Excel and found 10 errors in it that had been shaping his quotes for years. That is why this kind of work starts with questions, not code.

Common questions

We want the customer to be able to book themselves over the web.

It can be done and it is the natural next step. I would still start with internal records: online booking on top of a notebook would only produce date conflicts faster.

We also have long term hires running for months.

Yes, the rate is a property of the contract, so daily, weekly and monthly can be combined. On a long term hire a recurring invoice can also be issued on its own.

How does handover work when there is a queue at the gate?

Handover is a few taps and two photos on a tablet. If it is more complicated, people skip it at peak times and the records stop matching, so it has to be fast.

How much does it cost?
