What such a system includes
A card for the machine at the customer site: manufacturer, type, year, version of the control system, installed modifications and the history of every job with photos. The technician opens it before the trip and brings the right part the first time.
A plan for regular maintenance based on operating hours or production cycles, not on the calendar. The system flags the date ahead of time, so you can agree on a shutdown the customer is planning anyway.
A record of spare parts, including the ones worth keeping in stock for a specific customer. With expensive production, one part on the shelf is cheaper than two days of downtime.
A service report created on site and signed by the customer on a tablet. It goes to them by email right away and you have it tied to the machine, not sitting in a mail folder.
An overview of jobs by machine that shows which machine keeps failing. That is the best possible basis for a quote on an overhaul or a replacement.

What stands behind it
I have not yet built for industrial machine service. The closest is Kotle CRM, where the equipment card, the planned service and the report from the visit already run, which is most of the skeleton. What is different is the link to operating hours and to the customer production shutdown, and that is the part I want you to explain to me before the first line of code.
The closest finished system is a CRM for a company that installs and services boilers. The same logic: equipment with a serial number on someone else site, regular dates, a technician trip and a document that has to go out at once.
The first working version there took 3 hours, because we first worked out how the company really operates and only then wrote the code. With machines that conversation matters even more, because there are more exceptions.
Common questions
We have customers with dozens of machines. Can it handle that?
Yes, records are kept by machine and by site, so one customer can have any number of them. Large customers are exactly where it pays off the most, because that is where the most searching happens.
We also do programming and machine modifications, not just repairs.
That is another type of job with its own report. What matters is that it is saved to the machine card, because in two years the note about a modification is the most valuable thing you have.
Our technicians work in halls with no signal.
The entry and the photos can be done offline and sent later. In production halls that is a normal situation, so I plan for it.
