for plumbers, water and heating
A plumbing system that survives an emergency blowing up your day
A plumber has the whole day planned and at eight in the morning someone calls about a flooded bathroom. A system that does not expect that is one you drop within two weeks.
A custom system for a plumber starts at €1,400 and the first version is usually ready within a week. It logs a job together with the parts straight from the van, keeps planned work apart from emergencies, builds a quote from your own rates and issues an invoice with a payment QR in one tap.
How a plumber's day usually looks
An emergency wrecks both the plan and the records
You push back two jobs, forget one of them, and the customer only gets in touch a week later when they are already annoyed.
Not all the parts from the van get invoiced
Elbows, seals, a length of copper. On their own it is nothing, over a year it is several thousand you paid for yourself.
A quote for a bathroom refit eats up the evening
You open the last one, rewrite the measurements and prices and hope you did not forget the waste pipe or the demolition.
You do not know who still owes you money
The invoices sit in the accounting software, but you keep track of which one is overdue in your head.
What a system like this includes
A job tied to the property and its history. What boiler is there, what pipework, what was done last time and what got put off back then. On a repeat callout to the same building it saves you the first half hour.
Logging parts from the van on site, on your phone, item by item. That is exactly where plumbers lose the most money, and it is also the thing you solve with a single list of favourite items.
A quote built from your own rates, meaning labour, parts and markup. It comes from a template for the type of work, so a bathroom refit does not start from a blank document.
An invoice with a payment QR and an overview of who has not paid yet. The customer pays from their phone on the spot and you do not have to piece together a month back who was left owing.
- Phone call Logged as planned work or as an emergency. Two separate queues, one calendar.
- Callout and on-site log Tasks and parts from the van, item by item, on the phone.
- Quote or straight to the document A quote to approve for a bigger job, a direct invoice for a repair.
- Payment with a QR The customer scans and pays while you pack up your tools.
What stands behind it
I have not yet built for a purely plumbing firm. The closest is Kotle CRM, where the callout, the property card, the quote and the invoice with a QR all fit, which is most of what you need. What is extra for a plumber is handling emergencies that blow up the plan, and that would be the largest part of the work.
The closest finished system is a CRM for boiler service and installation, which is a short step from a plumber. A technician in the field, a property with its equipment, reminders for regular servicing and an invoice with an EPC or SEPA QR in one tap.
It came about by first taking apart the way the company had worked in a single Excel file that only one person understood. The first working version took 3 hours and today the whole team runs on it.
Common questions
I work on my own, is it even worth it for me?
For one person it pays off first on parts and on invoicing, because you do both after dark. A system for one can be made smaller and cheaper, without the team features you would not use anyway.
We use accounting software. Will we end up with two systems?
You can keep issuing invoices from it and the data can be sent into it. The goal is not to replace your accounting, but to stop rewriting the same thing twice.
How do I log parts when my hands are covered in water?
A list of favourite items with a plus button. For a routine repair that is three taps, not typing things out. That is the only form people in the field actually use.
How much does it cost?
From €1,400. Further development is from €330 a month with no lock-in and can be stopped at any time. The code and the access are yours.
How much of the parts from your van did you not invoice this year?
Tell me how you log it today. Parts from the van get logged during the job and reach the invoice in full, with no guessing from memory. The first call is free and it will also tell you whether it is worth it for you.
