What such a system includes

Booking on the website with a real length based on the type of examination. An initial examination and a short check are not the same, and this is exactly what decides whether the waiting room matches reality.

An automatic reminder the day before and the option for the patient to cancel with a single tap. A cancelled slot can be offered to someone else, which is better than an empty window for the clinic and for the next patient alike.

Scheduling a follow-up at an interval set by the doctor, with a reminder at the right time. This is also the most important part medically, because a missed check means a worse treatment outcome.

A waiting room overview for the nurse: who is booked, who has arrived and who is running late. This makes it possible to shift slots during the day without anyone counting it on paper.

A website that clearly says what the clinic does, for whom, and whether it accepts new patients. That last piece is the most searched for and the most often missing.

What stands behind it

I have not built for a private clinic yet. The closest I have is a bike service with booking for tasks of different lengths and with reminders, which is the same skeleton. What is fundamentally different here is health data and the fact that booking has to fit into the clinic software you already use; that is where we would have to start.

I built booking for time slots with different task lengths and with reminders for a bike service that used to pay a portal roughly a thousand euros a year for it. After switching to its own booking, the number of reservations did not drop.

The same website brought the business to an average position of 5.9 in Google. For a clinic that takes patients from the surrounding area, being found matters just as much as the booking itself.

Frequent questions

We have clinic software. Will this replace it?

No, and it should not. Medical records belong in certified software. It makes sense to put booking and reminders next to it, which it usually cannot do, and not to type the same thing twice.

We do not want everyone to book a slot on their own.

Booking can be set up as a request that the nurse confirms. Most clinics start this way and open only some slots for direct booking later.

What about patient data protection?

The booking system holds only a minimum of data, meaning the name, contact and type of examination, not a diagnosis. The fewer sensitive details it holds, the better, and that is how I design it.
