Stock and assets

you know what you have and what to order

Stock is something most small businesses keep twice. Once in their head and once in a spreadsheet nobody updates. The result is that what is already there gets ordered, and what nobody noticed had run out is missing.

Stock that is part of the jobs system does not have this problem, because it writes itself off the moment someone uses a part.

How stock stays current

When you add a part to a job, it leaves stock. You do not have to think about it and you do not have to record it anywhere a second time. For each item you can set a threshold below which the system warns you the end is near.

Goods-in is just as simple, and each item keeps both a purchase and a sale price, so you can say not only how much you have but also how much money you have tied up in it.

Assets and depreciation

This is the part ready-made booking and service tools do not deal with at all, and yet the business needs it. Tools, machines and equipment have their purchase price, a date they entered service and depreciation that calculates itself.

At AJ Bikes that means Adam sees not just takings but also how much of them the assets he uses eat up. That is the difference between how much the business earned and how much it actually kept.
