A custom booking system has no per-booking fee, unlike the ready-made platforms that charge monthly or per appointment. At the bike workshop it replaced a platform costing roughly €1,000 a year.
Booking platforms are convenient until you find out what they cost. You pay monthly, often per user or per booking, and the fee keeps running even in a month when you have little work. At the same time they do half of what you need, because they are built for everyone at once.
Your own booking form is a one-off investment instead of a permanent one. And it can be put together exactly around the way you work.
How it works
The customer picks a service, a date and a time. They only see the slots that are genuinely free, because the system checks it against your calendar. It cannot happen that someone books a time while you are on another job.
Available slots are formed by merging opening hours, exceptions and busy times from the calendar. If the calendar happened to be unavailable, the system falls back to its own data instead of stopping.
After submitting, a confirmation goes by e-mail to you and the customer, and the slot is written into the calendar. The form at AJ Bikes comes in six languages, which for a village near Bratislava is not a luxury.
How much it saves
Adam at the bike workshop was paying for a booking platform. After moving to his own system he saved a thousand euros on it, and adding the other tools the app replaced brings it to three thousand two hundred euros. That is not a one-off discount but a sum that does not get spent again every following year.
